Vermont mountain venue prepared for a destination event

Coming from out of town?

We plan your Vermont event from top to bottom — rentals and local vendors included.

A large share of our clients live outside Vermont. We coordinate rentals, lodging referrals, and trusted local vendors so you don't have to fly in blind or juggle a dozen phone numbers from a hotel room.

One team, one contact, one Vermont event

Planning a Vermont wedding, memorial, private chef weekend, or corporate retreat from out of state is hard. You don't know the venues, you don't know the rental companies, and you can't stop by to check on things. That's where we come in. A Vermont Table is based in Brattleboro and West Dover, and we've spent nearly two decades building relationships with the tent companies, florists, DJs, photographers, officiants, and lodging partners across Southern Vermont, Mount Snow, Stratton, Manchester, and the Berkshires. We put that network to work for you.

What we coordinate for out-of-town clients

  • Tent, table, chair, china, glassware, and linen rentals
  • Bar and beverage licensing, ice, and glassware
  • Lodging referrals — inns, chalets, and vacation rentals near your venue
  • Officiants, florists, DJs, photographers, and hair & makeup
  • Transportation and shuttle logistics between lodging and venue
  • Permits, insurance certificates, and venue paperwork

Who this is for

  • Destination weddings at Mount Snow, Stratton, Manchester, and Brattleboro
  • Families flying in for a celebration of life or memorial service
  • Ski-house private chef weekends where the whole group is traveling in
  • Corporate teams booking a Vermont offsite or multi-day retreat
  • Summer-home hosts planning an event without being on the ground full-time
  • Milestone birthdays and reunions when the host isn't local

How it works

  1. 1

Tell us your date, your headcount, and where you're staying. If you don't have a venue yet, we'll suggest a few that match your group.

  2. 2

We build a single quote that covers catering plus the rentals, staffing, and coordination you need — no juggling five vendors from a hotel room.

  3. 3

We handle the on-the-ground logistics: rental drop-off, venue walk-through, vendor timing, and setup. You show up ready to enjoy the event.

Where we work in Vermont

We cover Southern Vermont end-to-end, plus Western Massachusetts and Southern New Hampshire. These are the regions we work every week.

Frequently Asked Questions

We're not from Vermont. Can you really coordinate everything?

Yes — a large share of our clients live outside Vermont. We coordinate rentals, lodging referrals, and local vendors as a normal part of what we do. You get one point of contact instead of ten.

Do you handle the rental order for us?

Yes. We work with the tent, table, and rental companies in Southern Vermont every week. We build the rental list against your headcount, place the order, coordinate delivery, and manage returns.

Can you recommend places for our guests to stay?

We keep a working list of inns, chalets, vacation rentals, and hotels near every venue we cater. We'll send options that match your group size and budget, and we can coordinate a room block when it makes sense.

What about vendors like a florist, DJ, or photographer?

We work alongside a trusted circle of Vermont wedding and event vendors and can send introductions the same day you ask. You're never obligated to book from our list — but most clients do because it makes the timeline predictable.

Do you charge extra for coordination?

Vendor and rental coordination is included on most full-service events. For lighter drop-off jobs, we can add a coordination fee if you'd like us to handle logistics you'd otherwise manage yourself.

Can you help even if we haven't picked a venue yet?

Absolutely — we'd rather be involved before the venue is booked. We know which Vermont venues actually work for each type of event and which ones will surprise you with a hidden fee.

Tell us the date and where you're staying

Send us the basics — event date, headcount, and the town or venue you're headed to. We'll come back with a full plan that covers catering, rentals, and the vendors you'll need.
